What is Holdfast?

Holdfast helps small service firms win and keep public contracts: contract cleaning, security, waste, grounds, facilities and 100 trades in all. It shows every public contract in your trade and area, when each one comes back to tender, and who holds it now. Then it helps you bid: explaining tenders, drafting answers, checking your price and keeping your documents in date.

Where does the data come from?

From public award and tender notices. Ireland and Malta come from the EU's TED database, checked every few hours. Other countries' official sources (the UK, Canada, the US, Australia and New Zealand) are switched on one at a time, after each has been checked. Notices are public; Holdfast reads, matches and arranges them.

How are re-tender dates worked out?

From the award: its date plus the contract term the buyer published gives the end date. Buyers usually start preparing the next tender about 6 months before the end, so that is when the "re-tender window" opens. Where no term was published, we assume 48 months and mark the date as an estimate. Contract extensions and frameworks (umbrella agreements a buyer orders work through over several years) can change real dates, so treat them as a strong guide, not a promise.

What is a bid draft, and who signs it?

Upload a tender and Holdfast explains it on one page: what's asked, the pass/fail rules, how it's scored and the deadline. A bid draft is a first answer to each question, written from the tender, your trade playbook and the evidence you've given us. It is a draft: you check it, change it, sign it and submit it yourself. Holdfast never submits anything for you. Drafts are not legal advice.

How does the free trial work?

30 days free, no card needed. You get every tool, including 3 tender explanations and 1 bid draft, so you can judge the quality yourself. If you choose a plan before the trial ends, the first payment is taken when the trial ends.

How do I cancel?

From your Billing page, in one click. Stripe, which handles our payments, shows you when your plan ends before you confirm. There are no cancellation fees.

What is the 90-day promise?

If we don't show you at least 5 public contracts or tenders matching your trades and area (open tenders, or re-tender windows opening within 12 months) in your first 90 days of a paid plan, we refund your subscription fees for those 90 days. Ask by email within 14 days after the 90 days end. One refund per company. Full terms.

What does it cost, and is VAT included?

Find €99 · Win €299 · Win + Hold €499 · Pro €1,499 a month in euro; you pay in your own country's currency. Prices are before VAT, GST or sales tax. A yearly plan costs 10 months' price for 12 months. Plans and the founding offer.

What do you do with my data?

We keep what's needed to run your account and tools, use a few named companies to help (hosting, payments, email, AI), host in the EU, and never sell your data. Tender documents you upload to Explain This Tender are read once and not stored; for a Done for you order we keep them to write your bid. The full privacy page.

What is Done for you?

We write the whole bid for one tender. You pay a deposit (€750 in Ireland), we review the tender and quote the balance before any work starts, and an experienced bid writer reviews every page before it reaches you. Deadlines need to be at least 7 days away. Order a bid.

What is subcontract matching?

An opt-in way for firms to work together on bigger contracts. Say you'll work as a subcontractor, or that you want subcontractors, and you'll see other firms that said the same in your trades and area: their name, trades, area and short note only.
